Receptionist / Office CoordinatorWe are a fast-growing, full-service law firm who is looking for the perfect candidate to join us. The ideal person for this position is someone with a pleasant, upbeat personality, who has great people and organizational skills, and who has experience in office/clerical related duties. The ability to multi-task is a must.As Receptionist/Office Coordinator, you will be the first point of contact for all our new and existing clients. This includes timely contacting all new referrals, answering basic questions, scheduling initial consultations, and assisting them with the intake process. You will answer all incoming calls in order to assist our current clients with any inquiries, provide status updates, or take prompt messages for callbacks from an attorney or paralegal, if needed.Additionally, you will help manage our front desk and provide a variety of administrative and clerical tasks, including offering administrative support to staff. You will also help manage the firm's calendar, including for attorneys and paralegals.Responsibilities--- Greet and welcome client's, obtain required documentation, and assist with completing intake forms.--- Create new contact and the new matter details in our firm's software. Create both a physical and online matter folder.--- Answer and screen incoming calls, answer client questions, and take appropriate messages as needed. Keep records and update client's matter file, by adding online notes with all information discussed in office or on phone.--- Scan or upload any legal documents, letters, evidence, etc. and attach it to client's online matter folder.--- Process credit card payments online and provide client with new balance due.--- Ensure lobby and reception area is tidy and presentable.--- Provide basic and accurate information in-person and via phone/email.--- Receive, sort, and deliver daily mail--- File legal pleadings with the Courts--- Update attorney and paralegal calendars and schedule meetings--- Call clients to obtain needed information, payments, provide updates, etc.--- Prepare and mail letters to the Parish Clerks, District Attorney's, client, opposing counsel, etc.--- Perform mail-out's--- Follow procedural workflows to ensure tasks are met on time--- Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing.Skills--- Proven work experience as a Receptionist, Front Office Representative or similar role--- Proficiency in Microsoft Office Suite and other similar systems--- Hands-on experience with office equipment (e.g. fax machines and printers)--- Professional attitude and appearance--- Solid written and verbal communication skills--- Ability to be resourceful and proactive when issues arise--- Excellent organizational skills--- Multitasking and time-management skills, with the ability to prioritize tasks--- Friendly and positive attitude--- The ability to uphold and maintain our Attorney/Client confidentiality relationship, with the ability to be empathetic towards our client's needs.--- Very reliable with the ability to work without constant directions.--- Highly motivated.--- High school degree; additional certification in Office Management is a plusJob Type: Full-timePay: $20,200.00 - $24,240.00 per yearSchedule:
